ADDITIONAL MANDATORY FEES
COSTUME FEE
We provide a costume rental fee at the rate of $55.00 per dance class. This covers the cost of costumes for both the Winter and end-of-year recitals. This fee is non-refundable.
RECITAL TICKETS
Our Winter and Annual end-of-year recitals are held at Hart House Theatre. Caregivers and guests are required to purchase a ticket and there are no refunds, credits, or exchanges for the tickets purchased.
DANCEBUG ACCOUNT ACCESS FEE
This mandatory fee is charged $50.00 per family. DanceBUG is a private access website that allows you to view dance photos/videos recorded at Charb Arts Studios.
Our end-of-year recital will be recorded by DRC Video Productions and distributed via DanceBUG.com. Families must create their DanceBUG account on DanceBUG.com to access the studio’s shows. When the show is ready, we’ll provide you with the access code to unlock the performances. Upon unlocking your show you can view anywhere, share anytime, and stream from any internet-enabled device. Ways to access DanceBUG include: iOS and Android apps, Roku channel, and any web browser. For questions and assistance, please see the DanceBUG FAQ sheet or email support@dancebug.com.
AMERICAN BALLET THEATRE® EXAMINATION FEE
Dancers enrolled in Ballet classes may be submitted for ABT® Examinations at the discretion of the Director. Please note that examinations come at an additional cost, determined by ABT®. There will be no refunds once the submission process is completed.
RECREATIONAL CLASSES
REGISTRATION, PAYMENT INSTALMENTS & COMMITMENT
Our 2024/2025 School Year Season runs from Saturday, September 7th, 2024 to Saturday, June 14th, 2025.
REGISTRATION PERIOD
Upon registration, you are committing to your dance classes for the full school year from September until the end-of-year recital in June. Please note that there is a $30 non-refundable registration fee per student.
Payment for the school year is made in 3 installments (Instalment 1: upon registration | Instalment 2: December 15, 2024 | Instalment 3: March 15, 2025).
You will be charged automatically upon each installment period. Charges to your credit card will be applied as listed in your CAS Program Registration unless you officially withdraw by emailing info@charbarts.com.

Alternatively, you may pay for the entire year in full, this comes with an additional discount of 5%. Email info@charbarts.com to request the rebate discount code before completing registration.
LATE REGISTRATION POLICY
Students who register after the start of the season, or after the start of an instalment period will have their tuition prorated.

Please note that the discounts listed above are only applicable to recreational dance classes for ages 3+.
ABSENCES/MISSED CLASS POLICY
Please let us know if you will not be able to attend class via email info@charbarts.com or telephone. We will pass this information on to the instructor. Please note that make-up classes will not be offered.
We do not offer refunds or credits for missed classes including those canceled due to inclement weather or extraordinary circumstances beyond our control. Additionally, tuition cannot be “paused” for extended absences.
If 3 or more classes are missed in the last 2 months of the school year and/or if your child does not attend the Dress Rehearsal, their participation in the Year-End Show will be forfeited.
There will be no make-up for missed classes. An exception will be made if it is due to cancellation by Charb Arts Studios, please see the policy below. Exceptions may be made for unforeseen prolonged injuries or illnesses and for absences on religious grounds. This will be determined by the Director only.
CLASS CANCELLATION POLICY
If the studio is unable to hold classes due to extreme weather or other events beyond our control, the missed lesson(s) will be rescheduled at a later date. Please email the studio for cancellation information, check your emails, and stay up to date by following our Instagram page as it is our most real-time communication tool.
PLACEMENT POLICY
Our faculty is extremely careful and concerned when choosing the correct level class for each dancer. It is very important to remember that all students are individuals with very different talents, skills, and ability levels; they will not all progress at the same rate. In maintaining a high quality of dance education, it is therefore sometimes impossible to keep the same students together in class year after year. The most important thing is that the student should be comfortable in their learning environment, not inhibited. We are a progressive studio and all of our classes are challenging.
The Instructor’s judgment must be respected first and foremost. Please remember that the Instructor is looking at your child through trained, expert eyes. If your Instructor’s judgment is not respected in all areas of your child’s training, their dance education may be compromised.
Please note that classes are given names for the sole purpose of identifying the class for business and scheduling. Many of our classes are divided by age and then by dancer ability. Many of our dancers are coming from different studios and will be assessed based on prior training and technique. We ask that all caregivers refrain from pushing their child into a level that may not be suitable. Please trust the judgment of Charb Arts Studios and know that any decisions made are made together and with the best interest of the child in mind.
Even a beginner class should give every dancer the chance to improve on something. If you feel that your child would like extra work or to be pushed harder, we can suggest private lessons with a selected Instructor, but please refrain from asking for your child to be moved to a higher-level class. It is not safe or responsible for us as professionals to do this so it is our policy to place a student for the year and keep that placement for the remainder of the year.
Always remember that dance is supposed to be fun for the students. The goal at Charb Arts Studios is for all dancers to grow at their own level and to have fun learning in safe, supportive, and welcoming environment. We ask that all conversations in change rooms and waiting areas be kept positive and upbeat. If this is not possible, we will ask individuals to leave those areas.
Charb Arts Studios prides itself on having a friendly, family-like atmosphere with enough strong Instructors to help each dancer develop into the best that they can and want to be. From time to time, our Instructors must make decisions whereby certain students are chosen for solos, performance groups, special parts, or auditions. These decisions are not easily made and are thought out carefully. The caregivers and faculty must work together to help students understand that not all students can be chosen for all things. We want our students to be happy for each other and not to think of their teammates as competitors.
It is our intention to teach students to learn from and be motivated by each other. We encourage all of our students to work hard and become the best dancers they can be, but they must work at a level that is suitable for them. Students and parents should understand that corrections given by an Instructor are meant to help the student grow. It is never made with the intention of hurting or discouraging the student. Instructors hope that when corrections are given to dancers, that the dancer is going home and working on those corrections and coming back ready to learn more or with questions for clarification. This is how progress is made and how learning is accomplished.
ATTITUDE/BEHAVIOURAL POLICY
We have a zero-tolerance no-gossip policy at our studio. We work hard to provide a positive, thorough dance education and experience for each dancer. Gossip thwarts our efforts and impacts class and team dynamics. If you or your dancer have any concerns regarding other dancers, caregivers, or Instructors, please reach out to the Director(s) immediately so that the problem can be solved as quickly and effectively as possible.
Excessive talking or other misbehaviour will not be tolerated and may result in the dancer being asked to observe class instead of participating. All students and caregivers must respect the structure and teaching style of all Instructors. While instances of disruptive behaviour or derogatory comments about others are extremely rare, we must point out that such behaviour will not be tolerated at Charb Arts Studios. Our studio-wide Anti-Oppression Code of Conduct applies to all students, staff, faculty, and guests.
Continued issues with a dancer’s behaviour will result in the dancer being asked to leave the class, along with their caregivers, and may include permanent removal from the studio. We will not tolerate any forms of bullying from dancers or caregivers and will take appropriate action when dealing with such behaviour. Students will be expected to take corrective action before being allowed back into the class. Similarly, in the unlikely event that there is an issue with the caregiver, both the dancer and caregiver will be asked to leave the studio until the caregiver’s behaviour is corrected, and suitable reconciliation has been made.
CLASS TRANSFERS
Class transfers must be approved by the Director. If you would like to transfer to another class please email us at info@charbarts.com immediately. This request must be made in writing and will not be accepted after January 31st, 2025.
Charb Arts Studios reserves the right to deny transfers if the class is not the right fit for the student.
LATE PAYMENTS & FEES
Payment is required online to complete registration. The first installment payment for all classes is to be made in full upon registration. Future payments will be automatically charged to your credit card on file. To avoid late fees, update and save your credit card information on your Amilia account. Accounts with expired credit card information are subject to late fees once valid credit card information has been submitted.
Accounts who fail to complete payment on instalment dates will be charged a late interest of $2.00 per day until payment is received. After 30 days from the payment due date, another 2% will be charged. After 30 days, Charb Arts Studios reserves the right to prohibit students with outstanding fees from attending classes until full payment is received. A course of action may be taken including, but not limited to 3rd party collections and termination of enrolment.
RECREATIONAL CLASS WITHDRAWAL POLICY
Upon registration, you are committing to your dance classes for the full school year from September until the end-of-year recital in June. Charges to credit cards will automatically be charged unless an official withdrawal is made.
For withdrawals after the start of an installment date, only credit is offered less a $25 withdrawal fee. There are no refunds for withdrawals after the start of the season, credit only. No refunds or credits will be issued with 4 or fewer classes remaining in the season. No tuition credits will be issued after May 1st for the school year season. Once posted on your account, CAS credits are not available for refund at a later date.
All withdrawals must be submitted via email to info@charbarts.com. Repeated absences do not confirm that a student has withdrawn. A notice of withdrawal email must be received 14 days before the end of the installment date to receive credit. This email will determine the official withdrawal date. Refunds are only available to withdrawals before the season start date (September 7th), minus a $25 withdrawal fee.
CAMP WITHDRAWAL POLICY
Withdrawals from camp programs must be made at least two weeks prior to the start date for a full refund, minus an administration fee of $25.00. All withdrawals must be submitted via email. This email will determine the official withdrawal date.
For camps, no refunds will be processed after this date.
PRIVATE & SEMI-PRIVATE CANCELLATION POLICY
Cancellations must be submitted via email at info@charbarts.com. 24-hour notice must be given for any private lesson cancellation. For privates, a credit will be applied to your account or a new date may be arranged if notice is given. Without notice, your account will be charged the full amount. There are no refunds for privates.
Semi-privates may only be cancelled or changed if all parties notify us at least 48 hours in advance. There are no refunds or credits for semi-private class absences. For semi-privates, the class will run with the other attending students (with no adjustment to the session fee) and the class is forfeited for any student who is absent.
BIRTHDAY PARTY CANCELLATION POLICY
Cancellations must be submitted via email at info@charbarts.com. 72 hours’ notice must be given for any birthday party cancellation. A full refund, minus a $25 administration fee will be processed to your method of payment. For birthday parties cancelled with less than 72 hours’ notice, no refund is issued. Instead, a credit will be applied to your account.
LATE CHANGE POLICY
Please note that although the current schedule is up-to-date, class times, dates, teachers and studio allocation are subject to change over the summer to accommodate low enrolment, staffing, scheduling and other factors.
Any withdrawals that families must make due to a scheduling conflict will be given suggestions on an alternate class. If a suitable class cannot be agreed upon, a refund may be processed without the $25 withdrawal fee.
MANDATED CLOSURE POLICY
In the event of a government-mandated forced closure (ie. COVID-19), in-person classes will pivot online until government-mandated reopening. For subsequent terms, students can choose to continue online.
AUDITION PREPARATION & REFERENCE LETTER REQUESTS
Please request an audition preparation session no later than 6-8 weeks before your audition date. Reference letter requests must be submitted 6-8 weeks before the submission date.
